Overview

This guide explains how to configure your Point of Sale (POS) checkout settings for Pickup and Dine-in services. You can set default service types, payment options (Pay First or Pay Later), assign order tracking details (like table or paging numbers), and manage your refund policy. Proper setup ensures a smooth workflow tailored to your business model.

Before You Begin

  • Permissions: You need administrative access to the EPOS360 settings.

  • Business Model Clarity: Decide your standard process for Pickup and Dine-in orders (Pay First vs. Pay Later).

  • Hardware: If using paging devices or table management, have those systems ready.


How to Access Checkout Settings

  1. Open the EPOS360 app on your device.

  2. Tap "More" in the bottom navigation bar.

  3. Tap on "Settings."

  4. Tap on "Checkout."


Step-by-Step Configuration

1. Updating the Default Service

This setting determines the service type automatically selected when you start a new sale.

  • Option A: Pickup – Best if most of your business is takeaway. All new orders will default to "Pickup."

  • Option B: Dine-in – Best for sit-down restaurants. All new orders will default to "Dine-in."

2. Configuring Pickup Orders

These settings apply when the service type is set to "Pickup."

  • Payment Options:

    • Pay First: Customer pays when placing the order. Ideal for prepaid pickup to reduce wait times and no-shows.

    • Pay Later: Customer pays when collecting the order. Ideal for pay-on-collection where orders are prepared upon arrival.

    • How to Set: Select your preferred "Default Payment Option" for Pickup orders.

  • Paging Device Number (Optional):

    • What it is: If you use physical paging devices to notify customers their order is ready, enable this.

    • How it Works: When enabled, the cashier will be prompted to enter a paging device number during checkout. The system can then associate the order with that device.

    • How to Set: Toggle "Require Paging Number" ON or OFF.

3. Configuring Dine-in Orders

These settings apply when the service type is set to "Dine-in."

  • Payment Options:

    • Pay First: Customer pays before receiving food/drinks. Common in fast-casual, cafe, or food court settings.

    • Pay Later: Customer pays after their meal. Standard for full-service restaurants.

    • How to Set: Select your preferred "Default Payment Option" for Dine-in orders.

  • Table Number (Optional but Recommended):

    • What it is: Enables assigning a table number to each order for kitchen routing and server delivery.

    • How it Works: When enabled, the cashier or server must enter a table number before sending the order to the kitchen.

    • How to Set: Toggle "Require Table Number" ON or OFF.

4. Configuring Refund Policy

  • Allow Refunds:

    • What it does: This master switch enables or disables the ability to process refunds through the POS.

    • Recommendation: Keep this ENABLED but ensure strict staff training and permissions. Disabling it prevents all refunds, which may not be practical.

    • How to Set: Toggle "Allow Refunds" ON or OFF.

    • ⚠️ Important: Enabling this does not override payment processor rules. Refunds must typically be processed to the original payment method.


Best Practices

  • Align with Operations: Choose "Pay Later" for Dine-in if servers handle payment at the table. Choose "Pay First" for Pickup to improve kitchen flow and reduce abandoned orders.

  • Training: Ensure all staff understand the difference between "Pay First" and "Pay Later" modes and when to manually override the default.

  • Use Table & Paging Numbers: Even if not required, entering these numbers improves order tracking and customer service.

  • Test the Flow: After configuration, run a test sale for each service type to ensure the prompts and workflow match your expectations.
